How to Send Broadcast Emails via BCC to Groups
Learn how to use the Club Communication tool to send bulk emails via BCC to specific groups, filter recipients by status, and include inactive players.
Intro
The Club Communication tool lets you send broadcast emails directly from the platform. Instead of sending individual messages, you can reach entire groups at once using BCC (Blind Carbon Copy) to protect recipient privacy. This guide walks you through selecting a group, filtering your recipient list, and deciding whether to include inactive players.
Prerequisites
- An admin account with the necessary communications permissions (typically
manage_communicationsoradminrole). - At least one group already created under your club (e.g., U12 Boys, Goalkeepers).
- Players in that group must have email addresses saved in their player profiles.
- A Message Template (optional but recommended) if you want to reuse a predefined message.
Step-by-step
-
Navigate to the Communications section From the main dashboard, open the sidebar or top menu and click Communications (or Broadcast). This page lists your club’s past communications logs.
-
Create a new broadcast Click the New Message button (or Compose Broadcast) to start a new email.
-
Select a recipient group In the “To” field, choose Group from the recipient type dropdown. Then pick the group you want to target (e.g., U12 Boys). You can select multiple groups if needed.
-
Filter recipients Use the Filter options to narrow down who receives the email. Common filters include:
- Player Status - Active / Inactive / All
- Age Group
- Position (if you have positions assigned)
To include inactive players, set the status filter to All or Inactive. By default, only active players are selected.
- Compose your message
- Subject - Enter a clear subject line.
- Message body - Write your email text. You can use a Message Template by clicking Load Template and selecting one from your club’s saved templates.
- Attachments - If supported, attach a file (e.g., a PDF of the season schedule).
-
Set BCC delivery Before sending, confirm the Send via BCC toggle is enabled. This hides all recipient email addresses from each other and complies with privacy best practices.
-
Review and send Click Preview to see a sample of the email and confirm the recipient count. Then click Send Broadcast. The system will queue the emails and log them in the Communications Log under your club.
Tips & Pitfalls
- BCC is mandatory for privacy - Always use BCC when broadcasting to a group. Never use “To” or “CC” for multiple recipients unless they are all individual contacts.
- Inactive players - Including inactive players can be useful for re‑engagement campaigns or end‑of‑season updates. But be careful not to over‑communicate to contacts who may have moved on.
- Message Templates - Using a template saves time and ensures consistency. You can create templates in the Message Templates section of the Communications module.
- Player email required - If a player record has no email, that recipient will be skipped. Check the delivery report after sending to see who was excluded.
- Testing - Send a test email to yourself first by adding your own email as an extra recipient in BCC.
Summary
The Club Communication tool makes it simple to reach your entire group in one go while keeping everyone’s email private through BCC. By selecting the right group, applying filters, and choosing to include inactive players when needed, you keep your club informed without manual effort. After sending, review the Communications Log to confirm delivery and address any bounces.
