How to Edit Club Details
Learn how to update your club's business name, address, and phone number to keep financial records and system configurations accurate.
Intro
Keeping your club’s details up to date is essential for accurate financial sheets, invoices, and internal configuration. The Full Business Name, Address, and Phone fields in your club record feed directly into billing documents, tax reports, and communication templates. As a Club Admin, you can edit these fields at any time from the Club Settings page. This guide walks you through the process step by step.
Prerequisites
- A Club Admin account (role with
adminor equivalent permissions). - Access to the club you want to manage (you must be assigned to that club).
- No pending seasonal data lock that might prevent edits (for financial operations, we recommend updating before the season closes).
Step-by-step
-
Log in to your BallersBook account and navigate to the Settings tab in the sidebar. Look for the Club Settings option - it is usually grouped under the Admin section.
-
Click Club Settings to open the club configuration page.
-
Locate the Club Details section. Here you will see three editable fields:
- Full Business Name - The legal name of your club used on invoices and contracts.
- Address - The club’s physical or mailing address.
- Phone - The primary contact number for the club.
-
Click into the field you want to change and type the new value. You can update all three fields at once if needed.
-
After making your changes, click Save at the top or bottom of the form.
💡 Tip: The Save button may be labeled Update Club or Save Changes depending on your app version. Look for a primary button near the form.
- A confirmation toast (or success message) will appear to confirm the update. Your club’s details are now updated across the system.
Tips & Pitfalls
- Financial sheets (invoices, expense records) often reference the Full Business Name at the time the record is created. Updating the name will affect new documents but will not retroactively change existing invoices. If you are entering a new billing cycle, update the name before generating invoices.
- Address changes may affect tax calculations or shipping for physical items. Confirm with your finance team before making large-scale address updates.
- Phone updates propagate to communication logs and message templates. If you use automated SMS reminders, verify that the new number is correct after saving.
- If you do not see the Club Settings option, you may not have the
manage_clubpermission. Contact your Super Admin to adjust your role. - Always double‑check for typos in the address field - a missing suite number or ZIP code can cause delays in mail or payments.
Summary
Updating your club’s full business name, address, and phone number is a quick but impactful task. By following the steps above you ensure that financial sheets, invoices, and system configurations always reflect the most current information. After saving, we recommend generating a test invoice or running a financial report to confirm the changes have propagated correctly.
