How to Manage Player Active Status
Learn how to deactivate a player to hide them from active rosters, and how to permanently delete disabled players from your club.

Keeping your player roster clean and up to date is essential for accurate attendance tracking, session planning, and billing. BallersBook lets you deactivate players who are no longer participating (without losing their past records) and permanently remove players who should be fully deleted from the system. This guide walks you through the full workflow: toggling a player’s active status, understanding how deactivation affects rosters, and performing a permanent deletion of disabled players.
Prerequisites
- An Admin or Coach account with
manage_playerspermission (or equivalent role that can edit player records). - A club with at least one player already registered.
- Familiarity with navigating your club’s player management area.
Step-by-step
- From the sidebar, click Players to open the player roster page.

Locate the player you want to deactivate. Use the Search field or scroll through the list. Click the player’s name or row to open their profile.

On the player’s profile page, find the Status section. Click the toggle labeled Active to switch it to Inactive.
💡Tip: The toggle may appear as a switch or a dropdown (e.g. “Active” / “Inactive”). The exact label is “Active” in the expected UI.

A confirmation dialog will appear. Review the information: deactivating the player will hide them from all active rosters (drill sessions, season rosters, group assignments) but keep their historical attendance and billing records. Click Confirm Deactivation to proceed.

The player’s status updates immediately. They will no longer appear in dropdowns for adding players to sessions or groups, and their name will be grayed out in historical lists.

To permanently delete a player who is already inactive, return to the Players page and filter by Inactive players using the Status filter.

Click the Actions menu (three dots) next to the inactive player and select Delete Permanently.
- A warning dialog appears stating that deletion is irreversible and will remove all associated data (including attendance records, invoices, and group assignments). Type the player’s name to confirm and click Yes, Delete.
⚠️ Warning: Permanent deletion cannot be undone. Consider deactivation instead if you only need to hide the player temporarily.
Tips & Pitfalls
- Deactivation vs. Deletion: Always prefer deactivation unless you are certain the player will never return. Deactivation preserves their history for reports and audit logs.
- Bulk Actions: If you need to deactivate multiple players at once, check if your club’s roster page offers a Bulk Edit option (e.g., selecting checkboxes and choosing “Deactivate Selected”).
- Re‑activating a player: To bring a player back, follow the same steps and toggle their status back to Active. They will reappear in all appropriate rosters.
- Invoice impact: Deactivating a player does not cancel any outstanding invoices. Handle billing separately via Finance → Invoices.
