How to Navigate Role-Based Dashboards in BallersBook
Learn how each user role (Club Admin, Coach, Parent, and Creator) experiences a different dashboard view with role-specific pages, widgets, and metrics.
Intro
BallersBook adapts its interface based on your assigned role. A Club Admin sees club-wide controls, a Coach focuses on sessions and attendance, a Parent views their child’s information, and a Creator manages drills and content. Understanding what each role can access helps you set up the right permissions and train your staff. This guide walks you through the default dashboard each role sees and how to switch between roles if you hold multiple ones.
Prerequisites
- A BallersBook account with at least one role assigned (Club Admin, Coach, Parent, or Creator).
- Your login credentials (email and password).
- (Optional) A multi-role account to test the Role Switcher.
Step-by-step
-
Log in to BallersBook at your club’s URL. After authenticating, you are redirected to your role’s default landing page. The exact page depends on your active role.
-
If you have multiple roles, switch your active role using the Role Switcher in the navigation bar. Click your current role name and select the role you want to view. Role Switcher is available for accounts with more than one role (e.g., Club Admin and Coach).
-
Club Admin dashboard - When your active role is Club Admin, you see the broadest set of options:
- Drill Library (
/library) - Full access with a Global vs. Club Toggle to view all drills or only your club’s drills. - Session Library (
/sessions) - View all sessions; the Plan Season (Generator) feature is available if you havemanage_sessionspermission. - My Attendance (
/my-attendance) - View your own attendance records. - Drill Creator (
/drills/new) and Drill Editor (/drills/edit/:id) - Create and edit drills if you havemanage_drillspermission. - Session Wizard (
/sessions/new) - Build new sessions if you havemanage_sessions. - Club Admin also has access to all general authenticated pages except those restricted to specific roles.
- Coach dashboard - As a Coach, you see:
- Drill Library (
/library) - Same library but without the Global/Club toggle (Coach can only view and use club drills; global drills are visible if allowed by club settings). - Session Library (
/sessions) - View sessions you’re assigned to; you cannot access the Plan Season generator unless you also holdmanage_sessions. - My Attendance (
/my-attendance) - Mark and view your own attendance. - Drill Creator and Drill Editor - Only if you have been granted
manage_drills(by default, Coaches do not have this permission). - No access to pages restricted to
admin-financeorparent.
- Parent dashboard - When your active role is Parent, you have limited access:
- My Attendance (
/my-attendance) - View attendance for players linked to your account. - Drill Library (
/library) - Read-only view of global drills; any action to save, edit, or copy a drill will prompt you to sign up for a free account (if you are not already an authenticated user with proper permissions). - Parent role cannot access Session Library, Drill Creator, Session Wizard, or any management pages.
- Parent can also view publicly shared session plans (
/share/:id).
- Creator dashboard -
If your account has a Creator role, you typically have
manage_drillsandmanage_sessionspermissions. Your primary tools are:
- Drill Library (
/library) - Full access with Global/Club toggle (if you are also a Club Admin). - Drill Creator (
/drills/new) - Create new drills from scratch or duplicate existing ones. - Drill Editor (
/drills/edit/:id) - Edit drills you own. - Session Wizard (
/sessions/new) - Build and save session plans. - Creator role generally excludes financial or administrative pages.
- Understand the widgets and metrics visible on your dashboard:
- Club Admin - Drill count, session count, club-level attendance summary, and access to global drill settings.
- Coach - Personal session schedule, upcoming drills, and attendance records.
- Parent - Player attendance list and links to shared session plans.
- Creator - Draft drill list, recently edited sessions, and copy drill actions. These metrics are displayed within the respective library and attendance pages; there is no single consolidated dashboard page.
Tips & Pitfalls
- If you see a Global vs. Club Toggle on the Drill Library, you are a Club Admin or super-admin. Regular Coaches and Parents see only the club or global drills.
- The Role Switcher is your friend - experiment with different roles to understand what each user type experiences.
- Some actions (e.g., Copy Drill, Create Manual Drill) are locked for guest/parent roles. They will be prompted to create an account.
- 💡 Tip: To quickly see which permissions your account has, check the navigation bar - restricted links are hidden or disabled.
- ⚠️ Warning: If you hold multiple roles, always verify your active role before performing administrative tasks. Using the Role Switcher changes the page content instantly.
Summary
Understanding role-based dashboards helps you assign the right permissions and train your team effectively. Club Admins see the full toolkit, Coaches focus on sessions and attendance, Parents view only player-related data, and Creators manage drills and session content. Use the Role Switcher to preview other roles, and refer to the PAGE_ACCESS document for a complete list of routes each role can visit. Next, explore the Drill Library or Session Wizard to start building your club’s assets.
