How to Use the Plan Season Wizard

Learn how to auto-schedule a season of practice sessions, set drill repetition limits, and enforce weekly focus rules.

The Plan Season generator is a time-saving wizard that automatically builds a full practice schedule for an entire season. Instead of manually creating each session, you define high-level parameters: session frequency, drill repetition limits, and weekly focus themes. The wizard then generates a complete set of sessions, each pre-filled with drills and coaching points that align with your rules.

This feature is especially useful for club directors and head coaches who need to standardize practice plans across multiple teams or age groups. It ensures consistency, prevents drill overuse, and keeps training aligned with weekly tactical goals.

Prerequisites

  • A BallersBook account with the manage_sessions permission (assigned by your club admin).
  • A club that has at least one Season defined (see Seasons in your club settings).
  • A library of drills you want to include (global or club drills). The wizard will use these drills when scheduling.
  • Optional but helpful: a Template that defines drill rotation logic (if your club uses them).

Step-by-Step

  1. Navigate to Sessions From the left‑hand navigation, click Sessions. The Sessions library page opens.

  2. Open the Plan Season wizard Click the Plan Season button (located in the top‑right area, next to the New Session button). If the button is not visible, verify that your active role has manage_sessions permissions.

  3. Name your season schedule In the wizard’s first step, enter a Season Name (e.g., “Fall 2026 U12 Training”). This name will be used as a prefix for each generated session.

  4. Select the season date range Use the Start Date and End Date pickers to define the period the schedule should cover. The wizard will only generate sessions for dates within this range.

  5. Set the session frequency Choose how many practices you want per week. Options typically include 1x, 2x, 3x, or 4x per week. You can also select specific days of the week (e.g., Monday, Wednesday, Friday).

  6. Configure drill repetition limits

Under Drill Repetition Rules, specify the maximum number of times a single drill can appear in the same week (e.g., “Maximum 2 same drills per week”). This prevents overuse of the same exercise.

In the Weekly Focus section, assign one or more focus themes to each day of the week. For example:

  • Monday: Defensive shape
  • Wednesday: Attacking patterns
  • Friday: Small‑sided games

The wizard will then only pull drills that match the assigned focus tag for that day.

  1. Review and generate Click Generate Schedule. The wizard creates a full set of sessions, each with a date, a focus tag, and a selection of drills that respect your repetition limits. A summary page appears showing the number of sessions created.

  2. Edit or publish the schedule From the summary page, you can:

  • Click View Sessions to open each generated session and adjust drills, duration, or coaching points.
  • Click Publish All to make the sessions visible to your team (if session publishing is enabled for your club).

Tips & Pitfalls

  • Plan the season before adding drills. If your drill library is empty or too small, the wizard may create sessions with very few or no drills. Build a solid drill library first.
  • Drill tags matter. Make sure your drills are tagged with the correct focus themes (e.g., “Defense”, “Attack”, “Possession”). The weekly focus rule only works when drills have matching tags.
  • Avoid overlapping with existing sessions. Check the calendar to ensure the generated dates don’t conflict with matches or holidays. You can manually delete or move individual sessions after generation.
  • Repetition limits apply per week, not per season. If you want a drill to appear only once during the entire season, set the per‑week limit to 1 and stagger the drill’s availability across different weeks.
  • 💡 Tip: If you’re a new coach, start with the default focus “Mixed” until you’re comfortable with the planning workflow.
